# September 2026

Custom fields in every export, one timezone for the whole team, and forms that send their own reminders.

### Custom fields come out with your exports

Every export now downloads as an Excel file and can carry your custom fields.

Click **Export** in the three dots at the top right of any table and you'll be asked how you want it. **Simple** is what you've always had: one sheet, standard fields only. **Grouped** gives each template its own worksheet, with that template's custom fields alongside the standard ones.

Templates don't share custom fields, which is why a grouped export can't put them on one sheet. Either option follows whatever you've filtered the table down to, so you get the records you're looking at rather than everything you own. Times and dates follow your organization timezone.

This works on accounts, events, tasks, contacts and employees.

### ScheduLink follows your organization timezone

Times across the app now follow your organization's timezone rather than the timezone of whatever device someone is on.

A 9am event reads as 9am for everyone, at the studio, working from home, or travelling. Nothing in your events or tasks has changed, only how times are displayed.

Owners and admins should check the timezone is set correctly in Organization.

### Employee invite status on the list

The Employees list now shows where each person stands instead of an invite link.

A status reads **not invited**, **invited**, **invite expired** or **active**. You can send or resend an invite from the list or from the employee's own page, and the employee page carries a banner telling you what to do next.

Every invite sent, resent or accepted is recorded in the employee's activity log along with the email address it went to, so a corrected typo leaves a trail.

Worth checking before you publish a week of scheduling: an employee who has never accepted their invite does not receive the email or the text.

### Forms send their own reminders

A form with a due date now follows up without you.

The request goes out on the start date, then a reminder every three days until the form is submitted, five reminders have been sent, or the due date passes, whichever comes first. There is nothing to switch on.

One thing to know: a single submission stops the reminders for everyone the form went to. On a form where you need several people to reply, watch the submitted count rather than assuming we're still chasing.

### Forms stay open for 24 hours

A roster is rarely filled in one sitting. Forms now stay open for a full day, so someone who starts in the morning and gets pulled away can come back after lunch and carry on.

Tell your contacts to click **Save** as they work and nothing is lost.

### Pick the recipient role when sending a form by hand

Sending a form manually now starts with the role.

Choose the recipient role and the contact list narrows to the people at that account who hold it, so a form aimed at your data contact offers data contacts rather than every name at the school. You can still choose anyone if you need to. Contacts without an email address are filtered out either way.

Submission notifications now carry the event name and account name in the subject line.

### Email status on the event page

Emails listed on an event now carry a status, the same way forms have since August.

**Waiting to send** means the send trigger hasn't fired yet. **Sent** means it has gone out with no deliveries confirmed. **3 of 5 delivered** means at least one has been confirmed as delivered, and tells you how many.

### Filter search matches all the words you type

Typing a multi-word name into a filter used to return every record containing any one of those words, so "Montessori Day School" brought back everything with "day" or "school" in it.

Filters now require all the words to match, the same way the search bar at the top of the screen already did.

### Archived records stay out of search

Archiving already takes a record out of your lists. The search bar at the top of the screen now leaves them out too, so last season's events and completed tasks aren't in the way when you're looking for something current.

They're still there under the archived toggle on the filter bar.

### Generate PDF now works on accounts and tasks

Events have had **Generate PDF** for a while, for the job sheet your photographers carry. Accounts and tasks now have it too, from the three dots inside the record.

Account PDFs carry the account info, contacts with their roles, and custom fields. Task PDFs carry the task info and custom fields.

### Disconnect a calendar integration

The Integrations page under Setup now shows connection status separately from the button, so you can see whether something is connected and disconnect it without guessing. There's a confirmation step before anything is removed.

### Duplicated sub-events stay inside the parent

Duplicating a sub-event was creating the copy outside the group event. It now duplicates as a sub-event in the same parent.

### Filters work on the Account slide-in panel

The Event and Task filters on the account drawer couldn't be opened, so they couldn't be changed. The popups sat behind the panel and now render above it.

### Role search in email templates returns matching results

When adding an email template to an event template, typing in the contact recipient field was showing unrelated roles instead of filtering. It now matches what you type.

### Typing an address before selecting Other no longer clears it

On an event, typing an address that wasn't attached to the account and then selecting **Other** was wiping everything entered. The text now stays.

### Email formatting survives sending

Line spacing set in a template and formatting inside the custom fields it pulls from were collapsing when the email went out. Sent emails now match what you built.

### Filter name stays visible after completing a task

Completing a task and returning to the Tasks page was clearing the filter name in the sidebar even though the filter was still applied.

### Publish sends text messages to employees

Publishing a week of scheduling was not sending the text message alongside the email. Both now go out.

### Form access codes ignore capitalisation

A contact entering their email address to receive a one-time code was rejected if the capitalisation differed from the address saved on their contact record. Email addresses are now matched regardless of case.
